From arrival to the end of the term.
An archive is not a folder, it is a rule: what may enter, how long it stays, who was allowed to see it and when it goes.
Set the term, secure the file
Every type carries a retention period and a legal basis, and you choose the start date when you seal the document. Each version gets a SHA-256 checksum, and a new revision becomes a new version. Sealed documents are under WORM protection that stays in place until the term ends.
Review, evidence, delete
After the term ends, the system lifts the WORM lock and logs it. For an audit you export metadata together with the original files. Deletion stays a manual step, and a legal hold blocks it too.

- A rule, not a habit
Retention period, legal basis and default IDP agent follow the document type, not the person who happens to file it.
- Type and term detected
Classification determines document type, sender and direction and proposes the matching retention rule.

- Legal hold
A legal hold locks documents beyond the end of the term. While it is active, nothing is deleted.
- Export for an audit
Metadata of selected documents can be exported as Excel, CSV, JSON or PDF, optionally with original files and OCR text.
- Versions and changes
Every revision is kept as a version. For revision-secure documents, changes are recorded with timestamp and person in the audit history.
- Checksum per version
SHA-256 over each version shows whether a file has changed since it was filed.

Questions about archiving
What to settle before the first rule.
Does this make our filing audit-proof?
Rules such as the German GoBD ask for traceability, immutability and orderly retention. PaperOffice supplies versions, checksums, an access log and retention terms. Whether your process as a whole satisfies your regulator is a judgement for your tax advisor, based on your process documentation.
How long does a document have to stay?
That depends on the type and your legal framework: under German law eight years for accounting records such as invoices and bank statements, ten years for ledgers, inventories and annual accounts, six years for business letters. You set the term per document type once, and when a document is sealed the system calculates the end of the term itself.
What happens when the term ends?
After the term ends, the system lifts the WORM lock and the document can be deleted again. Deletion stays a manual step, and the end of the term remains as an event in the document's history. An active legal hold keeps the lock in place.
Can we bring in an existing archive?
Yes. Existing stock comes in through watched folders on Storage Mounts, the Data Importer (SFTP, S3, WebDAV, ZIP) or the REST API. Classification determines the document type and its term; if an IDP agent's required fields are missing, the document goes to review.
Can somebody change an archived document?
A revision-secure document cannot be deleted or moved until the term ends, and its file stays unchanged. A new revision is added as a new version, the previous one stays, and every version carries its own SHA-256 checksum.
What does an auditor get to see?
You filter the document list by period and document type and export the metadata together with the original files. For the audit you create a user who may only read one workspace.
Where is the data stored?
In our own data center in the EU. If the files should stay with you, PaperOffice stores them on your NAS or server over SFTP; index and metadata stay in the data center.
