The PaperOffice AI app brings its own triggers, actions and searches to Zapier. You map fields between steps instead of building requests yourself.
Connect the account
Choose the PaperOffice AI app in a Zap and connect your account with the key. Zapier checks it right away and stores it in the connection, not in the Zap. Publishable keys (po_pk_) are rejected.
Map and turn on
Map fields between steps, for example the POFID from New Document into Extract Invoice Data, and pass the invoice fields on to accounting, a spreadsheet or a chat.

Triggers, actions and searches for the full document lifecycle, from upload to redacted PDF.
- Upload from any app
Upload Document takes a file from an earlier step or fetches it from a link, for example from Gmail, Outlook, Google Drive or a form. PaperOffice AI then analyzes it with OCR and AI-DMS.
- Start on new documents
New Document starts the Zap when a document arrives in a workspace and passes name, type, status and dates to the next step.
- Find documents and passages
Find Document finds files by full text, meaning or both. Search Document Passages returns the passages that answer a question, with document and page number.
- Read text and files
Get Document Text returns the OCR text page by page, Download Document the original file for the next step.
- Invoice data as fields
Extract Invoice Data returns supplier, invoice number, dates, net, VAT and total amounts, IBAN and line items as separate fields for spreadsheets, accounting or approvals.
- Catch duplicates
Check for Duplicates finds identical content or the same number from the same issuer, even with a different amount. A filter in Zapier stops the Zap on a duplicate.
- Redact personal data
Redact Document returns a redacted PDF with black boxes, or with consistent pseudonyms on the Ultra model. A profile such as GDPR request decides what stays visible.

Webhooks by Zapier reaches every documented endpoint of the REST API with your key in the header, for example translation, PDF tools or e-signatures.

Security and compliance
Your key stays in the connection.
The key lives in the Zapier connection, not in the Zap, and is never passed on as a field. Documents are processed in our own EU data center.

Security and compliance Keys

Least privilege
A group token (po_gt_) limits Zapier to the workspaces of its group. Search, passages, duplicate check and trigger only return documents from those workspaces.
Clear errors
A failed call stops the step with HTTP status, message and a stable error code in the Zap history.
Data location
Documents are processed in our own EU data center. What Zapier keeps in the Zap history follows the settings of your Zapier account.
Frequently asked questions
Questions about Zapier and PaperOffice AI
Is there an official PaperOffice AI app for Zapier?
Yes. The PaperOffice AI app adds its own steps to Zapier: the New Document trigger, actions for upload, text, download, invoice data, duplicate check, redaction and tags, and searches for documents, passages and jobs.
Which key do I need?
A secret key (po_sk_), a user token (po_ut_) or a group token (po_gt_), created in the app under Account → API. Publishable keys (po_pk_) only work in the browser and are rejected. The API is available on every plan, including Free.
What does a step cost?
Calls are billed in PaperOffice AI credits, at least 5 credits per billable call. Invoice extraction and redaction are billed per page according to the model. Job status checks and the connection check are free. Zapier counts its own tasks separately.
What happens with long jobs?
Zapier gives each step about 30 seconds. If an invoice extraction or redaction is not finished by then, the step returns the job ID and the current status. Find Job reads the result later, for example after Delay by Zapier, for a redaction including the link to the redacted PDF.
How does redaction decide what stays visible?
You choose a profile such as GDPR subject access request, external sharing or court proceedings, plus terms that must stay visible or must always be redacted. Pseudonyms instead of black boxes require the Ultra model.
How does the duplicate check work?
It compares the content as well as the document number and issuer, so a resent invoice with a different amount is also flagged. It returns up to five candidates, earliest first, and only from workspaces the key can access.
Does a group token see all documents?
No. A group token only sees the workspaces of its group, in every step: workspace selection, search, passages, duplicate check and the trigger for new documents.
Can a Zap start when a document arrives?
Yes. New Document checks a workspace for new documents at the interval of your Zapier plan. From Professional, a webhook subscription can also report document.processed to a Catch Hook from Webhooks by Zapier.
Can I reach endpoints that have no step?
Yes. Webhooks by Zapier sends every documented call to the REST API with Custom Request, for example translation, PDF tools or e-signatures. Add the key there as the Authorization header.
Is the app also available for Make and n8n?
For Make, there is the official PaperOffice AI app with fifteen modules. n8n works with its standard HTTP Request, Webhook and MCP Client nodes against the same REST API and the same MCP server.
Where is the data stored?
Documents that Zapier sends to PaperOffice AI are processed in our own EU data center. Step data that Zapier keeps in the Zap history follows the settings of your Zapier account.
