Frequently asked questions
Questions about connectors
Which sources can a connector monitor?
Folders via SFTP on NAS and servers, S3-compatible storage, WebDAV directories and email mailboxes via IMAP. Servers without open ports connect via reverse SSH, scanners deliver to the PaperOffice SFTP inbox.
Do I need a storage mount first?
Yes. The storage mount holds the connection and the encrypted credentials. The connector picks a folder on it and the rules for import or index.
How often does the connector check the source?
At the interval you set, from a few minutes to weeks. Before saving you see how many runs per day and month that means. A run can be triggered manually or via webhook at any time.
What happens to the source file after import?
You define that per connector: keep, move to an archive folder or delete. In index mode the source file always stays untouched.
How deep are imported files processed?
As deep as the target workspace is configured: store only, Basic with OCR and classification, Premium with extended fields and embeddings, or Ultra with checks and knowledge graph.
Can I trace errors and runs?
Yes. The live log shows every run with files, status and errors. Via webhook your system learns immediately when a document is processed.
Is there an API?
Yes. Storage mounts, import jobs and webhooks can be created and monitored via the REST API, processing itself runs through the AI-DMS endpoints.
How does email intake work?
You create the mailbox as an “Email (IMAP)” storage mount and link it to a connector in import mode. The connector checks the mailbox at intervals from 5 minutes, every 15 minutes by default, and by default fetches only unread messages. Each email is filed in the workspace with its attachments as separate documents and is then marked as read and left in the mailbox, moved or deleted. Sign-in uses user name and password or an app password; OAuth sign-in as with Microsoft 365 is not supported yet.
