Practical guide
How review tasks stop an invoice until a person decides
Human-in-the-loop in PaperOffice turns a gap or a doubt into a review task for a person. The usual trigger is a required field in an IDP Agent that the AI could not find. The task has a deadline, a priority and an owner, and the reviewer checks each field against the original. Where you require four eyes, the task closes only after two different people have reviewed it. This guide follows one invoice with an unreadable number, then a workflow that stops before payment, and it covers the history, the webhook, the API and the limits.
What starts a review
In the film, the rule is set where the data is defined, in the IDP Agent. A field such as the invoice number has a setting named Behavior when value is missing. The option Required — HITL review means that a missing value is not passed on silently.
The setting alone only flags the document. A task is created only if the agent is also bound to a queue. In the Output and review section, the field Review has the option Review queue when required fields are missing. Without a bound queue, the app shows a notice that missing required fields will not create a review task.
A second route is a workflow. A workflow can pause and create a review request, so a person decides before the next step, such as a payment. The workflow tool is described in the app as pausing the workflow and creating a review request.
Step by step in the app
The sequence below follows the film and the Academy lesson on this page. Names are as they appear in the app.
- Open the IDP Agent for your document type, for example Invoice EU, and select the field to extract. Under Behavior when value is missing choose Required — HITL review.
- Under Output and review, open Review and select the queue named Review queue when required fields are missing. In the film this is the queue Supplier invoices.
- When a document arrives with the required field missing, a task appears under Human In The Loop Tasks. It is titled HITL Review followed by the name of the queue. The list columns are Human In The Loop Task, Source, Created, Deadline, Responsibility and Status.
- Open the task. Opening reserves it for you and sets the status to In progress. If a colleague opens the same task, the app shows Task is reserved with the name of the person, and the button Request takeover.
- In the review view, check each field in Review fields against the original. A field without a value reads Empty — please enter. Type the value, confirm each field and watch the counter, such as 3 fields, 0/3 confirmed, 1 empty.
- Under Decision, choose Approve (Approve review, continue workflow) or Reject (Reject review, comment recommended). The app confirms with Review saved.
A worked example: the smudged invoice number
The film uses fictional data. A supplier invoice from Iberica Components S.L. for 11,100.00 euros reaches the queue. A received stamp covers the line Invoice no. and ink smears four digits, so the AI finds no invoice number. Because the field is required and the queue is bound, the task is created, with a deadline derived from the maximum review time of the queue.
L. Hartwig opens the task, reads the number from the original, types FAC-2026-1031 and confirms the fields. The task is then at 1 of 2 reviews. The film shows the agent setting Reviews required with the value 2, and the hint that there is one review per person. K. Brandt opens the same task, checks the fields and approves, and the counter reads 2 / 2. Only then is the task closed.
When the final decision is made, the corrected values are written back into the document. The film mentions this as the closing line of the history, not as a history entry.
Stopping a workflow before payment
The second scene shows a workflow that stops. Invoice RE-2026-8194 announces a new bank account. The IBAN begins with LT64, while the sender block shows a supplier in Augsburg, Germany. The workflow agent reads both from the document and holds the workflow. A review task named Invoice approval is created, and a push message goes to the finance lead.
On the phone, the finance lead opens Tasks and sees the original, the task description and the fields to inspect. She rejects the invoice with a reason, Not paid, verify first. The workflow stays stopped. PaperOffice does not move money in this scene. It only holds the process until a person decides.
The film does not compare the new IBAN with a contract or master data, and this page does not claim that either. The stop comes from the workflow instruction and the review rules, based on what the agent reads in the invoice.
History, webhook and the API
Each task has a History. The film shows the entries Review task created by the HITL agent, Claimed with the status change to In progress, Reviewed with approval for each reviewer, and Completed with approval, each with who and when. The reject on the phone is logged the same way.
A webhook can tell your own system. If the HITL agent has a webhook URL, PaperOffice sends hitl.review.consensus_completed when the reviewers have decided, and hitl.review.escalated when a task was escalated. The body carries final_decision, final_status, decision_votes, reviews_completed and consolidated_fields. The event is signed, and the API documentation states that you must verify the signature before you act on a decision.
The API offers POST /hitl_config/enqueue to put documents into the queue of an agent by its config_uuid, GET /hitl_config/queue_stats for the counts per status, POST /hitl_review/queue to list open tasks, POST /hitl_review/claim to claim one and POST /hitl_review/get to read a task. Enqueuing requires write access to the workspace of each document, and a document that already has an open task of the same agent is skipped with OPEN_TASK_EXISTS. The MCP tools named in the film sources are po_tasks_list_my_tasks, po_tasks_resolve_task and po_hitl_approve.
What it does not do
- It does not review a document by itself. The film's trigger is a required field with no value and a bound queue. Without the binding, nothing is created.
- It does not decide for you. The reviewer approves or rejects, and the workflow continues or stays stopped according to that decision.
- It does not close a four-eyes task on one vote. One review per person counts, and the task waits for the number of reviews that you configured.
- It does not check a new IBAN against contracts, master data or earlier invoices in the film. A person still has to verify a changed bank account, ideally by calling the supplier on a number you already know.
- It does not move money. The film shows a workflow held before payment, and the payment itself belongs to your own process.
- Multiple reviewers per task require a group as the assignment. A single user can be assigned for one review.
