Two routes lead to the PDF: render Markdown or HTML directly, or fill a stored template with variables. Both file the result in your workspace.
Send data
Per document, send the template, the target workspace and the variables as JSON, including lists for line items. If a required field is missing, the API names it and creates no document.
PDF in the workspace
PaperOffice renders the PDF and files it in the selected workspace like an upload. The response contains the pofid of the new document.

What a document built from data needs: placeholders, lists, calculations, page layout and a checked filing step.
- Markdown or HTML to PDF
Send up to 5 MB of content, optionally with your own CSS, header, footer and metadata. The PDF is then filed in your workspace.
- Your own HTML templates
Your layout with placeholders such as {{customer}}. Create it once, then send only the data per document. The title may contain placeholders too.
- Lists and line items
{{#each}} repeats a block per entry, {{@number}} counts along. Suited to line items, participants or appointments.
- Calculations in the template
sum, sum_product, multiply and calculate build totals and formulas with a safe math parser. format_number and format_date format numbers and dates.
- Required fields checked
If a field from variables_schema.required is missing, the API returns 400 and names the field. No document is created.
- Page format and margins
A4, A3, A5, Letter or Legal, portrait or landscape, margins from 0 to 100 mm, header and footer per template.
- Filed like an upload
Upload rights and the security level of the workspace are checked, and the file is stored in an encrypted container.
- Safe renderer
Scripts, forms, iframes and external resources are removed. The renderer loads nothing from outside.

Security
Checked and filed like an upload.
Every generated PDF is filed like an upload, with checks of upload rights and security level. The renderer removes active content and loads nothing from outside. The PDF is generated in our own data center in the EU.

Frequently asked questions
Questions about document generation
Is there an interface for this in the app?
No. You use document generation via the REST API or via MCP from an AI assistant. You then find the finished PDF in the selected workspace.
What is the difference between create-from-content and create-from-template?
create-from-content renders the Markdown or HTML you send, always as A4 portrait with standard margins. create-from-template fills a stored template with your variables and uses its page format, margins, header and footer.
Which placeholders and helpers are available?
{{variable}} for values, {{#each list}} for lists with {{@index}} and {{@number}}, sum, sum_product, multiply and calculate for calculations, format_number and format_date, plus today, now, year, month, day and time. Values are inserted HTML-safe, and unfilled placeholders are dropped.
What limits should I know about?
The API creates PDF only. The template language does not evaluate conditions such as {{#if}}, so both branches end up in the PDF. The calculation helpers output numbers in German format (1.234,56), and dates default to DD.MM.YYYY. The default font contains no Japanese, Chinese or Korean characters.
What happens if a required field is missing?
If a field listed in variables_schema.required is missing or empty, the API returns 400 MISSING_REQUIRED_VARIABLES and names the missing fields. No document is created, and nothing is charged.
Where is the PDF stored?
In the workspace you specify with workspace_id, just like an upload. You need upload rights there. If the workspace has an AI-DMS automation set up, it processes the PDF like any new document.
Can I use document generation via MCP?
Yes. Seven tools are available: po_documents_create_from_content, po_documents_create_from_template, po_templates_list, po_templates_get, po_templates_create, po_templates_update and po_templates_delete. Claude or ChatGPT, for example, can then create a quote from your template.
Who may create and change templates?
The main account and admins. Templates belong to the account that created them, and sub-accounts do not see them. template-delete deactivates a template, template-update with is_active=1 reactivates it.
How do I avoid duplicate documents?
Send an idempotency_key of 8 to 128 characters with create-from-content. The same request then returns the stored result for 24 hours, without a second document. The same key with different content returns 409.
Which plans include document generation?
All plans. There is no restriction by plan. Billing applies to each generated and stored document and to template management calls. An AI-DMS automation in the workspace can cause additional costs, as with any upload.
