Features
What it does
- Watches Gmail for new emails with attachments (PDF, PNG, JPEG, TIFF) and skips small logo or signature images.
- Sends each attachment to PaperOffice AI for invoice extraction (OCR plus AI, scans and photos included).
- Creates a purchase invoice voucher (or a purchase credit note for negative totals) in Lexware Office with supplier name, invoice number, dates, gross and VAT amounts, and attaches the original file.
- Leaves every voucher in the status "to be checked", so a person confirms category and booking. Nothing is booked or paid automatically.
- Skips invoices that already exist in Lexware Office with the same invoice number.
- Lists invoices that are not in EUR, have no invoice number or have amounts that do not add up as "Needs review" without creating a voucher.
Setup
Set up in a few steps
- Create a User token (po_ut_…) in PaperOffice AI under Account → API, and a Lexware Office API key (requires a Lexware Office plan with access to its public API).
- Import the workflow from the GitHub repository paperoffice-ai/n8n-workflows into n8n.
- Create one Bearer Auth credential with the PaperOffice AI token and one with the Lexware Office API key, and select them in the matching nodes.
- Connect Gmail in the trigger node and narrow the search, for example with
label:invoices. - Send yourself a test invoice and activate the workflow.
FAQ
Questions and answers
Is there a direct Lexware Office connector?
Not yet. It is planned. PaperOffice AI is an independent product and not affiliated with Lexware. Today you use the n8n workflow.
What are the limits?
Vouchers are EUR only, and Lexware Office does not accept files larger than 5 MB. If Lexware Office does not answer in time, the invoice is listed as "Uncertain" and not sent again automatically. Check Lexware Office before you send it again.
Are suppliers created in Lexware Office?
No. The supplier name is set on the collective vendor contact; contacts are not created or changed. No specific plan is required. Usage is billed to your PaperOffice AI account as usual. Document processing (OCR, extraction, classification) runs on PaperOffice's own hardware in its own data center in Spain (EU), without external AI providers.
