Features
What it does
- Reads the files attached to a deal, such as invoices, quotes or order confirmations, and writes the key data back as a note: supplier, invoice number, dates, net amount, VAT, total, currency and IBAN.
- Checks required fields (invoice number, date, supplier, total).
- Checks that net amount plus VAT equals the total and that the due date is not before the invoice date.
- Verifies the IBAN check digits.
- Warns about duplicates: the same file, or the same invoice (same issuer, number and amount) already stored in your PaperOffice AI account.
- Creates a "Review document" task on the deal when a check fails.
- Stores the original file in the PaperOffice AI workspace you choose, where it stays searchable.
Document processing (OCR, extraction, classification) runs on PaperOffice's own hardware in its own data center in Navarra, Spain (EU), without external AI providers.
Limits: poorly scanned documents can produce incomplete fields (marked "needs attention"). Files larger than 80 MB are not accepted. The app reads only files of the deal you open and does not change deal values, stages or contacts. The app interface is English only in the first version.
Setup
Set up in a few steps
- Install the app from the Pipedrive Marketplace once it is available and allow access.
- In PaperOffice AI, create a User token (po_ut_…) under Account → API.
- In Pipedrive, open Tools and apps → Marketplace apps → PaperOffice AI → Settings, paste the token and choose Save token.
- Choose the workspace where documents should be stored and choose Save workspace.
- Open a deal with an attached file and choose Extract in the PaperOffice AI panel.

Is the app available yet?
Not yet. The integration is built and being prepared for the Pipedrive Marketplace. PaperOffice AI is an independent product and is not affiliated with Pipedrive.
What does it need from my Pipedrive account?
Two permissions: access to deals, to read attached files and add the note, and access to activities, to create the review task.
What does it cost?
No specific plan is required. Usage is billed to your PaperOffice AI account as usual.
