What it does
- Adds a PaperOffice AI tab to deals. Choose Extract next to a file attached to a note on the deal.
- Writes the key data back as a note on the deal: supplier, invoice number, dates, net amount, VAT, total, currency and IBAN.
- Checks required fields, totals (net plus VAT equals total), dates, IBAN check digits and duplicates (same file, or same issuer, number and amount already in your account).
- Creates a review task on the deal when a check fails.
- Stores the original file in the PaperOffice AI workspace you choose.
- Shows who started an extraction in the note (HubSpot user ID and e-mail address).
Document processing (OCR, extraction, classification) runs on PaperOffice's own hardware in its own data center in Navarra, Spain (EU), without external AI providers.
Limits: poorly scanned documents can produce incomplete fields. Files larger than 80 MB are not accepted, and up to 20 files per deal are listed. The app reads only files attached to notes of the deal you open and does not change deal properties, stages or contacts. Notes and tasks are written with the app's own permissions: every user who can open the deal and sees the app card can start an extraction with their own PaperOffice AI token.
Setup
Set up in a few steps
- Install the app from the HubSpot App Marketplace once it is available and allow access.
- In PaperOffice AI, create a User token (po_ut_…) under Account → API.
- In HubSpot, open Settings → Integrations → Connected apps → PaperOffice AI, paste the token and choose Save token.
- Choose the workspace for documents and choose Save workspace.
- Open a deal with an attached file and choose Extract in the PaperOffice AI tab.

Is the app available yet?
Not yet. It is built and not yet submitted to the HubSpot App Marketplace. PaperOffice AI is an independent product and is not affiliated with HubSpot.
What happens if processing takes long?
The tab shows "Still processing". Choose Refresh a minute later. The file is not processed twice.
What does it cost?
No specific plan is required. Usage is billed to your PaperOffice AI account as usual.
