Text recognition: how to get good results

What is text recognition (OCR)?

OCR stands for optical character recognition: an image of text becomes real, editable text. This lets you copy, search and reuse content from photos, scans and image PDFs without typing it.

PaperOffice's AI text recognition reads printed text and legible handwriting in the same pass and returns the text in reading order.

Tips for good results

  • Take the photo straight from above, without shadows or reflections.
  • Sharp image in good light; one page per photo.
  • For scans, 300 dpi is enough; very small print benefits from a higher resolution.
  • Upload multi-page documents as a PDF.

More than text

If you need data rather than just text, PaperOffice AI goes further: it recognizes entire documents, files them as searchable documents and extracts fields such as invoice number, date or amount automatically.

FAQ

Questions about image to text

Which files can I use?

Photos and scans as JPG, PNG, HEIC (iPhone), TIFF, WebP or GIF, and PDF files up to 20 MB. For PDFs, the tool recognizes up to 5 pages. Photos taken in portrait orientation are rotated automatically.

Does the tool recognize handwriting?

Yes. The text recognition reads printed text and legible handwriting. There is a separate page with tips for pure handwriting.

Can I edit the recognized text?

Yes. The text appears in a text field where you can correct it, copy it or download it as a TXT or Markdown file.

How do I get a searchable PDF?

The free tool returns plain text. Searchable PDFs, tables and extracted fields are created by PaperOffice AI.

Why is the result sometimes inaccurate?

Blurred, skewed or poorly lit photos make recognition harder. A straight, sharp photo in good light improves the result considerably.
