Overview

Your Synology already holds everything. Invoices, contracts, delivery notes. Eighty thousand documents, safely stored — and completely useless, because a file server cannot read. Connect PaperOffice AI, and that changes in three steps.

Connect

On the Synology, switch on SFTP. In PaperOffice, add the NAS as a storage mount and choose your encryption password. Done. Nothing is installed on your device, and every document lands on it, packed in 7-Zip with AES encryption.

Capture and read

From now on, everything arrives in one place. Your mailbox, the scanner, a watched folder, an upload, the API. And every page gets read. Supplier, invoice number, amount, due date — each field with a confidence score. No templates, no zones to draw.

Organize and decide

Your archive organizes itself. Document types, retention periods, folders, tags, versions. Filter by status, by type, by date, by signature, by anything the engine has found.

Open a document and it is all there: the fields that were extracted, every version, every comment, and a check-out, so two people never overwrite each other’s work.

Then your rules take over. If the invoice matches the order, it is checked and booked. If something does not add up, it goes to a person — not into the ledger.

Sign, find, prove

Send it out for signature and get it back sealed, with a certificate and a timeline of who did what, and when.

And you will find it again. By word, or by meaning. Ask for the Rotterdam transport from September, and it comes back — even when those words appear nowhere in the file.

Every access, every change, every download is recorded. Hand that to an auditor and the conversation is over.
