## Two products (do not merge them)

PaperOffice Classic and PaperOffice AI share the brand and can run on the same NAS. They are not the same architecture.

- **PaperOffice Classic:** Windows client plus MariaDB on the customer's NAS or server (QNAP, ASUSTOR, Synology or any MariaDB 10). Documents, OCR full text and indexing stay in that database. On the LAN, Classic works without internet and without a PaperOffice server in between. Perpetual licence per user account. QNAP has listed PaperOffice as its official DMS partner since 2019. ASUSTOR has listed PaperOffice since 2024.
- **PaperOffice AI:** browser platform for OCR, classification, IDP extraction, workflows, semantic search and document chat. Bring Your Own Storage (Storage Mounts) keeps the files on the customer's NAS. AI processing runs on PaperOffice infrastructure in the EU (our own data center in Navarra, Spain). The AI does not run on the NAS.

### What the Redact Agent does

The Redact Agent finds personal data in documents and removes it before a document is shared. It works on digital PDFs, scanned PDFs and images. Every run creates a new file; the original document is never changed.

- **Black out** (default, all tiers including Manual): every detected area is removed and covered with a box, black by default.
- **Pseudonymize** (Ultra only): detected values are replaced by consistent fictitious values of the same kind, so the document stays readable. Not available in the whistleblower, court proceedings, public publication and anonymous application profiles.

### Tiers

- **Manual:** no AI; you choose the areas yourself.
- **Basic:** AI detection that blacks out whole lines; up to 15 pages per document.
- **Premium:** AI detection that redacts word by word; up to 50 pages.
- **Ultra:** the most thorough AI detection, word by word, with pseudonymization; up to 100 pages.

In the API, `model` is required (`basic`, `premium` or `ultra`); requests without `model` are rejected before anything is charged. The app preselects Ultra.

### Profiles, categories and rules

13 profiles: GDPR request (Art. 15), external sharing, public publication, legal proceedings, whistleblower (HinSchG), internal audit, medical records, anonymous application, personnel file / HR, scientific research, financial data, contact data and custom.

Categories include names, addresses, phone numbers, e-mail addresses, bank and card data, tax and VAT IDs, ID and passport numbers, dates and places of birth, licence plates, signatures, special categories under Art. 9 GDPR such as health data, links, IP addresses, QR codes and barcodes.

- **Whitelist:** names and terms that must stay visible, for example the requester in a GDPR disclosure.
- **Custom terms:** always redacted.
- **Instructions:** optional free text that refines the AI decision.
- Bank and payment data stay redacted even if they are on the whitelist.

### Review and result

- The preview marks every finding with category, reason and legal basis. You release or add areas, or draw your own boxes, before anything becomes final.
- Text under a black box is deleted from the PDF, not just covered; scans are rebuilt from the redacted page images. Form fields, annotations, attachments, links, scripts and metadata are removed.
- In the app the result is a new document `name_redacted.pdf` (pseudonymized: `name_pseudonymized.pdf`) next to the original. A Redact Agent files its copies in a target workspace. "Redact and create download link" creates a short link (10 minutes, five downloads). Via API the job result contains download links; the file is kept for 60 minutes, job data for 7 days.
- With pseudonymization you get the table "original → replacement" in the app, in the download-link dialog, on the review link and in the API result (`detected_pii.pseudonym_mapping`). It is never written into the PDF, and every run creates new pseudonyms.
- Pseudonymized data is still personal data (Art. 4 No. 5 GDPR). Keep the table separate from the document.

### Where it runs

- App: one document with preview ("Edit with preview").
- Batch: a saved Redact Agent processes selected PDFs server-side, without preview.
- Download link: redact and share a short link.
- Review link: external reviewers approve without login; optional signed callback to your system.
- REST API and MCP (Claude, ChatGPT, Cursor and other MCP clients).
- Workflow Agents can redact too: write `po_anonymization_anonymize` and the `model` into the agent's instruction in the Prompt Studio.
- There is no rule that redacts every upload automatically. Start a saved agent from your own system via the API for each new document.

### Limits

- AI detection can miss or over-mark items. For sensitive documents review the preview and use Ultra.
- Photos, faces, logos, stamps and handwritten signatures are not detected as images. Text inside images is read, but image-based identifiers such as a portrait photo stay visible unless you draw a box over them in the preview. Check embedded images visually.
- Handwriting is recognised only as well as the text recognition reads it.
- Pseudonymized documents remain personal data and are not anonymous.

### For developers

- REST, asynchronous jobs: `POST /job/add/workflow` with `template=document_anonymize_preview` (preview), `document_anonymize_finalize` (final PDF after review) or `document_anonymize` (one step); for images `image_anonymize_preview` and `image_anonymize`. Poll `GET /job/get/{job_id}` until `job_status` is `completed`.
- Saved agent: `POST /documents/redact-agent-run`; create or update an agent with `POST /documents/agent-put` and `agent_kind=pdf_redact`.
- Review link for external approvers: `POST /document_delivery/create_redact_preview_link`.

They are stored in that data center or on the customer's own storage — any NAS or server that speaks SFTP (Bring Your Own Storage). EU sovereignty — no mandatory US hyperscaler dependency. PaperOffice Classic is the exception that stays on the customer's MariaDB: its documents do not pass through that data center.
